Booking Terms for Hartsop Hall Cottages -
1. RESPONSIBILITIES OF TENANTS
1.1 Tenants must take good care of the property, keep it clean throughout their holiday and leave it clean and tidy on leaving.
1.2 The lead name on the booking form (Party Leader) is held responsible for the conduct of the party and undertakes to ensure the property is left in a good condition.
1.3 The Party Leader must be over 21 years of age, and the ages of any children must be disclosed on the booking form.
1.4 If the composition of the group changes substantially between booking and arrival, please advise the booking agents (P and F Townsend).
1.5 The Party Leader is responsible for the group not exceeding the number stated on the booking form.
2. HOLIDAY START AND FINISH TIMES
2.1 The properties are let on a Saturday to Saturday basis, unless other arrangements have been made.
2.2 In order that the cottages can be cleaned properly between lets, they must be vacated by 10.00 am on the day of departure. Cottages will be available for incoming guests from 3.00 pm on arrival day.
3. PAYMENT ARRANGEMENTS
3.1 If booking more than six weeks ahead, the completed booking form plus required deposits must reach the agents within seven days of the telephone reservation in order to secure the required week/s.
3.2 The balance of the rent due must be received a minimum of six weeks before the holiday start date. Failure to do this means that the cottage is available to be re-

4. CANCELLATIONS
4.1 If you have to cancel your booking for ANY reason, please note that payments are not returnable unless the cottage is re-
4.2 In the unlikely event of the owner having to cancel a booking for a particular week, we will try to offer you a suitable alternative week. If this is not possible, any monies paid will be refunded in full.
5. PETS
5.1 Dogs are generally accepted (max. 2 per cottage) at the discretion of the farmer; there is a fee of £30, to be paid with the deposit. We accept either two small/medium or one large dog per cottage.
5.2 Dogs must not be left unattended in the property AT ANY TIME, nor allowed to sit or sleep on the furniture.
5.3 Dogs must always be kept under close control, preferably on leads, as sheep may be encountered at any time.
5.4 We are unable to accommodate cats in either cottage.
6. BREAKAGES, DAMAGE AND LOSS
6.1 Any breakages, loss or damage to the property must be advised immediately to the owner, and paid for by the person in whose name the booking was made (Party Leader).
6.2 If any damage should result in an insurance claim, the Party Leader may be held liable to pay any excess, or to pay in full should the amount be less than the excess.
6.3 We cannot accept responsibility for any lost property left behind at the end of a stay. We will make reasonable efforts to return lost property only on receipt of full payment for the registered post involved.
7. LIABILITY
No liability is accepted in respect of any loss, damage, sickness or injury to the client or any member of their party, baggage, car or contents, howsoever caused, which may be sustained during their stay.
8. COMPLAINTS
If during your stay you feel that there are any deficiencies or faults which require urgent attention in the cottage, you must advise the owner immediately so that appropriate action may be taken. No complaints will be considered after your holiday, unless they were raised when they occurred.
9. ACCESS
The owner and his agents must be allowed access to the cottage at any reasonable time for essential maintenance and inspections. Where possible, prior arrangements will be made.
10. RUBBISH DISPOSAL
There is a recycling scheme in operation for tins and glass, so please don't put cans and bottles/jars in with the household rubbish; but do put in all plastics. If you generate a large amount of "empties", it would be a generous gesture to take them to the recycling bins in the main car park at Glenridding.
11. SMOKING
SMOKING IS NOT ALLOWED ANYWHERE IN EITHER COTTAGE.
